Privacy & Cookie Policy

This policy explains what personal data Echelon Coaching collects, why, how we protect it, and the rights you have under the UK GDPR and EU GDPR. If anything here is unclear, contact us at hello@echeloncoaching.com.

1. Who we are

Echelon Coaching (“Echelon”, “we”, “us”) provides online fitness coaching. For data-protection purposes, the data controller is Echelon Coaching. Contact: hello@echeloncoaching.com.

2. Information we collect

• Application & enquiry details you submit on the Apply form or via WhatsApp: name, email, phone number, age, current weight, height (optional), sex, training experience, your coaching goals, and Instagram handle (optional).
• Newsletter: your email address, and the fact and time of your consent.
• WhatsApp messages: if you message us on WhatsApp, Meta/WhatsApp processes that conversation under its own privacy terms.
• Technical data: basic server logs (IP address, browser type, pages viewed) and cookie data, described in section 6.

3. How we use your information

• To respond to your enquiry, assess fit, and deliver coaching you request.
• To send you marketing emails, offers, and updates — only where you have opted in.
• To operate, secure, and improve the website.
• To comply with our legal obligations.

4. Legal bases (GDPR Article 6)

• Consent — for marketing emails and non-essential cookies. You may withdraw consent at any time.
• Steps prior to a contract — to handle your consultation request and provide coaching.
• Legitimate interests — to keep the site secure and understand how it's used, balanced against your rights.

5. Cookies

We use cookies and similar technologies in three categories. You choose which to allow via the consent banner, and can change your choice any time using Cookie settings.

• Necessary — required for the site to function (e.g. remembering your cookie choice). Always on.
• Analytics — anonymous statistics about how the site is used, set only with your consent.
• Marketing — powers the embedded Instagram feed and any future advertising pixels. These are set by third parties (e.g. Meta/Instagram) and load only after you accept. Until then, the feed is not loaded.

6. Sharing & third-party processors

We don't sell your data. We share it only with providers that help us run Echelon, under appropriate agreements: our email marketing provider, our website host, and Meta Platforms for WhatsApp and the Instagram embed. Each processes data under its own privacy terms.

7. International transfers

Some providers are outside the UK/EEA. Where that happens, transfers are protected by appropriate safeguards such as the UK IDTA or EU Standard Contractual Clauses.

8. How long we keep it

We keep enquiry and client data only as long as needed for the purpose collected or as required by law, then delete or anonymise it. Enquiries that don't lead to coaching are deleted within 24 months; client records are kept for up to 6 years after coaching ends to meet legal and accounting obligations. Newsletter data is kept until you unsubscribe.

9. Your rights

Under the GDPR you have the right to: access your data; correct it; erase it; restrict or object to processing; data portability; and withdraw consent at any time. To exercise any of these, email hello@echeloncoaching.com. You also have the right to complain to a supervisory authority — in the UK, the Information Commissioner's Office (ICO).

10. Marketing emails

We only email marketing to people who opt in. Every email includes an unsubscribe link, and you can opt out at any time with no effect on your coaching.

11. Children

Echelon is not directed at children. We do not knowingly collect data from anyone under 16 without appropriate consent.

12. Changes

We may update this policy; the “last updated” date above will change. Material changes will be highlighted on this page.
